Our small-school environment depends on strong systems, clear communication, and a warm, welcoming experience for students, families, staff, and community partners. This position is ideal for someone who enjoys making order out of many moving pieces and who can move comfortably between detailed administrative tasks and people-facing school support.About the Role:The Operations Coordinator plays a vital role in the daily functioning of Polaris Charter School by coordinating and supporting the systems, schedules, records, and communication that help the school run smoothly. This position has primary responsibility for daily coordination, admissions, facilities, and safety tracking, purchasing and inventory support, and assigned school engagement activities.The role requires strong organization, careful follow-through, sound judgment, and the ability to move comfortably between detailed administrative work and responsive, people-facing school support.Key Responsibilities:Coordinate daily school operations, staff coverage, schedules, calendars, student attendance support, recess/dismissal coverage, and front-office support as needed.Support admissions communications, applicant tracking, information sessions, lottery communications, enrollment, and student records.Coordinate maintenance tracking, cleaning-company communication, required inspections, safety-related records, Fire Life Safety compliance, and related facilities tasks.Support purchasing, supply and equipment inventory, asset tagging, requisition-based purchases, and equipment/supply returns.Support school event logistics, fundraising-related administrative tasks, and related school communications assigned.Provide selected administrative and HR support, including new staff orientation materials and staff information updates in Sycamore.QualificationsAssociate degree or equivalent combination of education and relevant experience required; experience in school operations, administrative coordination, office management, admissions, registrar work, facilities coordination, nonprofit operations, or a related field preferred.Strong organization, accuracy, follow-through, and ability to manage multiple priorities.Excellent written and verbal communication skills.Experience using Microsoft Office, Google Workspace, shared calendars, spreadsheets, and school information systems.Professional judgment, confidentiality, flexibility, and calm problem-solving.Positive, welcoming approach with students, families, staff, vendors, and community partners.Schedule: Full-Time School Year Schedule, with reduced summer hours as assigned.Compensation: $50,000.00, AnnualizedSuccessful completion of required background checks and onboarding requirements is required.To ApplyComplete our employment application and submit a cover letter, resume, and three professional references.
